The first hour of most offsites is spent waiting for people.

They arrive in ones and twos, circle the lot, apologize for the Beltway. A shared departure deletes all of it: the group leaves at a set time, arrives as a group, and starts when the agenda says it starts. It also settles two things nobody puts in an email, which are the colleagues who would otherwise carpool with the same three friends every year, and the drive home from an evening where drinks were served.

For a half day, activity venues along the Katy Freeway, a cooking class in the Heights, or a volunteer shift at a food bank are all within about 30 minutes of most offices, and a four or five hour block slides into a work week without swallowing it. Book the whole day. Two one-way transfers is a false economy when the weather turns.

About 34% of Houston inquiries with a requested duration asked for five to six hours and about 11% asked for seven to eight, and a retreat with a closing dinner runs past both. With the bus waiting at the venue, a group of 28 can move buildings, leave early or wait out a storm without anybody making phone calls.

Collect cell numbers into a single group text before the day. If an employee uses a wheelchair or needs a lift, put it on the quote request, because accessibility equipment varies from vehicle to vehicle and is not something to discover in a parking lot.
