Which campus events need a bus?

Game days get all the attention and they are maybe a third of it.

The rest is formals and semi-formals at a venue across town, date parties, a club's end-of-year banquet, an alumni weekend, a service trip, a family graduation dinner. What they share is the same four facts: a lot of students, one destination, one arrival time, and nobody who should be driving home afterward.

Houston's campuses are not clustered. The University of Houston and Texas Southern sit southeast of downtown off I-45 and Cullen, Rice is beside the Medical Center, Houston Christian University is off US-59 in Sharpstown, St. Thomas is in Montrose. A formal venue downtown or in the Galleria is typically 15 to 30 minutes from any of them, while Sam Houston State in Huntsville and Texas A&M in College Station are 70 to 100 minutes out.

How big a vehicle?

Party buses run the campus market. About 72% of Houston requests naming a vehicle mentioned one, and within those, roughly 57% involved 11 to 20 riders with another 16% at 21 to 30. What will the university want to see?

Paperwork, and earlier than you think.

Many Greek organizations carry national risk-management policies requiring hired transportation with a professional driver whenever alcohol is present at an off-campus venue, and student activities offices often want the event registered weeks out. Read your own policy and ask the provider for whatever documentation it requires before the deposit moves, because a vehicle your nationals will not approve is money you do not get back.

Riders 21 and over commonly bring their own aboard party buses, subject to the rules of the specific vehicle, which is a conversation to have when you book. Mixed-age groups are the normal state of affairs in college, so give the ages in the quote request, since the drink rules for the trip are settled when you book. Many chapters simply keep the drinking at a venue with a staffed bar that checks IDs and let the bus be the bus.

The booking needs an adult, 18 or older, who takes responsibility for payment and for the group's conduct. Whether your advisor also has to approve it is your university's rule rather than the bus company's, so check with student activities before you promise anyone a date.
One drop is faster. Apartment stops around Third Ward, Midtown or Rice Village can add 30 to 45 minutes and push you into overtime. If you want them anyway, list the addresses in the quote request so they are priced in rather than negotiated at midnight.
